Shipping Policy

Warming Systems Hydronic is a division of Warming Systems Inc. This Shipping Policy explains our order processing, shipping, freight delivery, local pickup, and damage-reporting procedures.

Shipping Destinations

Warming Systems Hydronic ships to residential and commercial addresses throughout the United States and Canada, subject to product availability, carrier service availability, and applicable shipping restrictions.

We do not ship to P.O. boxes. Customers must provide a complete physical delivery address that can be accessed by the applicable parcel or freight carrier.

Orders shipped to Alaska, Hawaii, remote locations, limited-access locations, and certain Canadian destinations may be subject to additional shipping or freight charges.

Order Processing and Production Times

Order processing and production times vary by product type.

  • In-stock products: Typically process within 1 to 2 business days.
  • Made-to-order and customer-configured products: Typically require 3 to 5 business days for production before shipment.

Business days are Monday through Friday, excluding federal holidays and days when Warming Systems Hydronics is closed.

Processing and production times begin after:

  • Payment has been successfully processed
  • All required order information has been received
  • The customer has approved the applicable product configuration
  • Any questions concerning the order have been resolved

Processing and production times are estimates and are not guaranteed. Custom configurations, special-order components, product availability, order volume, payment verification, weather, supply interruptions, and other circumstances may affect the estimated schedule.

Carrier transit time begins after the order leaves our facility. Processing and production times are separate from the carrier's estimated delivery time.

If we become aware that an order cannot ship within the timeframe communicated to the customer, we will provide an update and, when required, offer the customer the opportunity to accept the delay or cancel the unshipped portion of the order for a refund.

Shipping Costs

Standard shipping or freight delivery is included in the product price unless otherwise stated on the product page, quotation, checkout page, or order confirmation.

The included shipping amount covers standard delivery to an eligible and accessible destination. Additional charges may apply for:

  • Alaska or Hawaii deliveries
  • Remote or limited-access destinations
  • Residential freight delivery
  • Liftgate service
  • Inside delivery
  • Construction-site delivery
  • Appointment or notification services
  • Address corrections or delivery reconsignment
  • Missed delivery appointments
  • Redelivery or carrier storage
  • Customs clearance, duties, taxes, or brokerage services
  • Other services beyond standard curbside delivery

When additional charges are identified before shipment, we may contact the customer for approval and payment before releasing the order.

Shipping Methods

The shipping method used depends on the size, weight, packaging, destination, and product type.

  • Manifolds, controls, accessories, and smaller products generally ship through UPS, FedEx, or another parcel carrier.
  • Assembled hydronic panels are secured to pallets and shipped through a freight carrier.
  • Boilers may ship through a parcel carrier or freight carrier depending on the boiler's size, weight, packaging, and destination.

Orders containing multiple products may arrive in separate packages or shipments. Products may also ship from different locations or on different dates.

Delivery Estimates and Tracking

Delivery dates and transit times provided by Warming Systems Hydronics or a carrier are estimates only and are not guaranteed.

Weather, carrier delays, road conditions, customs processing, service interruptions, labor disruptions, natural disasters, incorrect address information, and other events outside our control may affect delivery.

Tracking information will be provided when available. Tracking activity may not appear immediately after a shipping label is created.

Please contact us if tracking has not updated for an extended period or if tracking indicates that an order was delivered but it cannot be located.

Freight Delivery

Assembled hydronic panels and certain boilers are delivered by freight carrier. Standard freight delivery is curbside unless a different delivery service is specifically included in the order or confirmed by Warming Systems Hydronics in writing.

Curbside delivery means that the shipment is delivered to an accessible location at or near the delivery address. Standard freight delivery does not include moving the pallet into a residence, garage, commercial building, warehouse, mechanical room, installation area, or other interior location.

The customer is responsible for:

  • Providing an accurate and accessible delivery address
  • Identifying whether the destination is residential or commercial
  • Disclosing whether the location has a loading dock or forklift
  • Requesting liftgate service when needed
  • Communicating with the freight carrier to schedule or confirm the delivery appointment
  • Ensuring that an authorized adult is available to receive and sign for the shipment
  • Providing sufficient personnel and appropriate equipment to move the shipment from the delivery point
  • Ensuring that the delivery area is safe and accessible for the freight carrier

A liftgate lowers the pallet from the truck to ground level. Liftgate service does not include moving or transporting the pallet away from the delivery area.

Customers should have an appropriate pallet jack, dolly, cart, forklift, hand truck, or other suitable equipment available to move the shipment. Depending on the shipment's size and weight, additional personnel may also be required.

Customers should not rely on the freight driver to unpack, disassemble, install, relocate, or carry the shipment into the building.

Residential and Limited-Access Deliveries

Customers must accurately identify whether the destination is residential, commercial, remote, or limited access.

A business operated from a residence is generally considered a residential delivery location by freight carriers.

Locations such as construction sites, schools, churches, farms, storage facilities, government buildings, military facilities, and locations without a standard loading dock may be classified by the carrier as limited access.

If the customer provides incorrect or incomplete delivery information, any resulting address-correction, reclassification, limited-access, redelivery, or other carrier charges may be billed to the customer.

Delivery Appointments and Signatures

Freight carriers typically contact the customer using the telephone number provided with the order to arrange a delivery appointment.

The customer is responsible for responding to the freight carrier and being available during the agreed delivery window.

A signature from an adult or authorized recipient is required for freight deliveries. Certain parcel shipments may also require a signature based on the product value, destination, or carrier requirements.

Carriers may not leave a signature-required shipment unattended.

Missed Deliveries and Additional Carrier Charges

The customer is responsible for charges resulting from circumstances including:

  • A missed delivery appointment
  • No authorized person being available to sign for the shipment
  • An inaccessible delivery location
  • Incorrect or incomplete address information
  • Failure to disclose that liftgate service is required
  • Refusal of an undamaged and correctly shipped order
  • Redelivery
  • Carrier storage
  • Address correction or reconsignment
  • Additional delivery services requested by the customer

These charges may be collected before redelivery or billed to the customer after they are assessed by the carrier.

Inspecting Freight Deliveries

Please inspect every freight shipment before signing the carrier's delivery receipt whenever reasonably possible.

Before accepting the shipment:

  • Inspect the pallet, packaging, wrapping, boxes, and exposed product surfaces
  • Check for crushed packaging, punctures, tears, dents, broken straps, leaning products, missing cartons, or other visible damage
  • Compare the number of pallets and packages received with the delivery documents
  • Take clear photographs of the shipment from multiple angles

If visible damage or missing items are discovered:

  • Describe the damage or shortage clearly on the carrier's delivery receipt before signing
  • Do not write only "subject to inspection"
  • Photograph the damage, packaging, pallet, shipping labels, and delivery receipt
  • Retain a copy of the signed delivery receipt
  • Refuse the shipment if the damage is severe and acceptance could cause additional damage or create a safety concern
  • Contact Warming Systems Hydronics immediately

Signing a delivery receipt without noting visible damage may affect our ability to submit or support a freight claim.

Freight Damage Reporting

Freight damage, concealed damage, missing components, and delivery shortages must be reported to Warming Systems Hydronics within 24 hours after delivery.

Please provide:

  • Your name and order number
  • The delivery date
  • A description of the damage or missing items
  • Photographs of the complete shipment
  • Close-up photographs of the damage
  • Photographs of the pallet, packaging, straps, and shipping labels
  • A copy or photograph of the signed delivery receipt

Do not discard the pallet, packaging, wrapping, labels, damaged parts, or other shipping materials until Warming Systems Hydronics or the carrier confirms that they are no longer needed.

Do not install or operate a visibly damaged product until the issue has been reviewed.

Parcel Damage, Loss, and Delivery Issues

Please inspect parcel shipments immediately after delivery and contact us promptly if:

  • The package or product is damaged
  • The package appears to have been opened or tampered with
  • An item or component is missing
  • The wrong product was delivered
  • Tracking shows delivery but the package cannot be located

Please retain the product, packaging, shipping label, and all packing materials while the issue is reviewed.

Warming Systems Hydronics may need to complete a carrier investigation before issuing a replacement or refund for a lost or missing shipment.

Address Changes

Customers are responsible for reviewing and confirming the shipping address before submitting an order.

Contact us immediately if an address change is needed. We cannot guarantee that an address can be changed after an order has entered production, processing, or shipment.

After a freight shipment has been dispatched, changing the delivery address may be treated as a reconsignment and may result in additional carrier charges and delivery delays.

The customer is responsible for address-correction, reconsignment, storage, redelivery, and other charges caused by inaccurate or incomplete delivery information.

Local Pickup

Local pickup is available from:

Customers must wait until they receive confirmation that the order is ready before arriving for pickup. Made-to-order products are not available for immediate pickup when an order is placed.

Pickup instructions and scheduling information will be provided when the order is ready.

The person collecting the order may be required to provide:

  • The order number
  • A valid photo ID
  • Authorization from the purchaser when someone else is collecting the order

Customers picking up large or palletized products are responsible for arriving with a vehicle that can safely accommodate the shipment and appropriate straps, equipment, and personnel to secure and transport it.

Warming Systems Hydronics may decline to load a shipment when the vehicle, equipment, or proposed transportation method appears unsafe or unsuitable.

Alaska and Hawaii

We ship to Alaska and Hawaii, but orders may be subject to additional parcel, freight, remote-area, air, ocean, or handling charges.

We may contact the customer with the additional shipping amount before the order is released for production or shipment.

Delivery times to Alaska and Hawaii may be longer than delivery times within the contiguous United States.

Canadian Shipments

Canadian shipments are subject to carrier availability, customs clearance, and applicable import requirements.

Unless expressly stated otherwise in writing, the customer is responsible for:

  • Customs duties
  • GST, HST, provincial taxes, and other applicable taxes
  • Brokerage and customs-clearance charges
  • Import fees
  • Remote-area or cross-border carrier charges
  • Providing information needed for customs clearance

Customs duties, taxes, brokerage charges, and other amounts collected by customs authorities, government agencies, brokers, or carriers are not controlled by Warming Systems Hydronics.

Delays caused by customs review, unpaid import charges, incomplete documentation, or the customer's failure to respond to a carrier or customs request are outside our control.

Refused Shipments

Please do not refuse an undamaged and correctly shipped order without first contacting Warming Systems Hydronics.

If an undamaged shipment is refused, the customer may be responsible for:

  • Original shipping or freight charges
  • Return freight charges
  • Carrier storage fees
  • Redelivery charges
  • Other costs assessed by the carrier

Made-to-order and customer-configured products remain subject to the restrictions in our Return and Refund Policy.

Risk of Loss

Responsibility for loss or damage during transportation will be determined according to applicable law, the applicable carrier terms, and any shipping terms stated in the order confirmation or other written agreement.

Nothing in this Shipping Policy limits the customer's rights regarding products that are damaged, defective, incorrectly supplied, or otherwise do not conform to the accepted order.

Changes to This Shipping Policy

We may update this Shipping Policy to reflect changes in our products, carriers, delivery services, business practices, or legal requirements.

The current version will be posted on this page with its effective date.
